- Configuration: Using the analyzed data to configure AI Specialists specifically for your business
- Storage: Storing your Centralized Brain data in your Google Workspace environment (Intelligence Machine) or our secure systems (Intelligence Brief)
Your Data Stays Yours
Intelligence Machine: Your Brain Team (50+ AI Specialists) is built on YOUR Google Workspace, not ours. Your Centralized Brain data resides in your environment. We access your Google Workspace only to configure and maintain your AI Specialists, and only with your authorization.
Intelligence Brief: Your Strategic Intelligence Assistant is hosted on our secure systems. The data used to configure it is derived from your intake responses and our research.
AI Training and Data Use
We do NOT use your proprietary business information to:
- Train general AI models
- Share with other clients
- Sell to third parties
- Create competing products
We MAY use anonymized, aggregated data to:
- Improve our methodologies and processes
- Develop better extraction techniques
- Enhance our service offerings
Story Capture and Testimonial Data
If you use our Story Capture system (included with Your Intelligence Machine), we collect:
Video Testimonials: Video recordings of testimonials from your patients/clients Audio Testimonials: Audio recordings if video is not provided Written Testimonials: Text-based feedback and testimonials Metadata: Time, date, device information, and consent records
How Testimonial Data is Used
- Transcripts are fed into your Centralized Brain to improve your AI Specialists
- Videos are processed and made available for your marketing use (YouTube, social media, website)
- All testimonials remain your property
HIPAA Compliance (Medical Practices)
For medical practices, our Story Capture system is designed to be HIPAA compliant:
- No Protected Health Information (PHI) is required for testimonials
- Patients provide explicit consent before recording
- Videos do not include clinical information
- You control all uses of testimonial content
How We Protect Your Information
We do not sell, rent, or share your personal information with third parties for their marketing purposes. Ever.

Data Retention

Active Clients: We retain your information throughout your engagement and subscription period.
Intelligence Brief Clients: We retain your Strategic Intelligence Report and related data for 12 months after delivery, or longer if you upgrade to the Intelligence Machine.
Intelligence Machine Clients: Your Centralized Brain data remains in your Google Workspace. We retain configuration data and backups for the duration of your subscription plus 90 days.
Former Clients: After your engagement ends, we retain necessary records for legal and accounting purposes (typically 7 years for financial records).
When we no longer need your information, we will securely delete or anonymize it.
Children’s Privacy
Our Site and services are not intended for individuals under the age of 18. We do not knowingly collect personal information from children under 18. If we become aware that we have collected personal information from a child under 18, we will take steps to delete that information promptly.
